We collect personally identifiable information (such as your name, law firm, email address, and phone number) solely to facilitate the delivery of our court reporting and transcript summarization services, including:
- Contacting you to obtain deposition transcripts.
- Summarizing deposition transcripts using secure and confidential processes.
- Providing you with the requested summary or related materials.

3. Your Discretion and Authorization
By submitting deposition transcripts or legal documents to us, you acknowledge and represent that:
- You have full authority and discretion to share such transcripts, including any confidential or sensitive information contained therein.
- You have obtained all necessary consents, permissions, or legal authority from any involved parties, witnesses, or attorneys in the case to provide these transcripts to KW Court Reporting for the purpose of summarization.
- You understand that the summarization process involves confidential handling of the data within a secure environment, and that the final summary will be delivered solely to you or your designated representatives.
4. Data Security and Compliance
We take data security and confidentiality seriously. All data is stored and processed within secure systems consistent with industry standards, including:
- Use of HIPAA-compliant practices (where applicable) to safeguard personally identifiable health information (PHI).
- Alignment with SOC 2 security controls to protect the integrity and privacy of your data.
- Summarization is performed through AI tools that do not retain, train on, or store submitted transcripts beyond the summarization task. No training or incorporation into a broader AI model occurs.
5. Retention and Deletion
We retain the deposition transcripts and summaries only for as long as necessary to fulfill the summarization service and to comply with any legal or regulatory obligations. Once the final summary is delivered, we will securely delete or anonymize the transcripts unless otherwise required by law.
6. Limited Use
We use the submitted information and transcripts strictly to provide EchoBrief Summaries or other directly requested court reporting services. We do not use this data for any secondary purpose, marketing, or analytics beyond fulfilling your request.
7. Your Rights
You have the right to:
- Access or correct the personal information we hold about you.
- Request deletion of your data (subject to legal and professional obligations).
- Withdraw your consent for our processing at any time by contacting us (subject to the impact on providing services).
8. Changes to this Policy
